Woocommerce integration with Zoho Inventory

Introduction

The main source of Customer’s Orders is Wordpress website that uses WooCommerce plugin to manage incoming requests. Customer’s staff uses WooCommerce and Zoho Inventory for managing shipment of orders and warehouse balances. Client request was to sync all orders from WooCommerce to Zoho Inventory. 

Challenge

Zoho inventory does not have a standard connection with WooCommerce. Also WooCommerce does not provide standard update hooks 

Implementation

To develop a solution for this task we prepared a standalone server with code for passing orders from WooCommerce. As a trigger for data passing was used a system scheduler that checked updates in WooCommerce. To pass updates from Zoho Inventory developers created several webhooks. After deploying, E2E testing was conducted with support from clients staff. 

Results

Developing this automation reduced the amount of staff mistakes and increased the number of simultaneous orders that can be tracked by sales managers.

Change of the Primary Warehouse

Introduction

Client was using a single warehouse as primary and several warehouses in different cities as complementary to the main warehouse. Due to business limitations Client decided to change the main warehouse to one of complementaries. This change was a critical issue that influenced work of the whole company and demanded the highest attention.

Challenge
Almost all open orders were connected to one warehouse and over financial documents needed to be correctly changed to another warehouse. Stock handling was also connected to the main warehouse and all shipments had to be transferred without losses for  customers. 

Implementation
To complete this transfer were developed a multilayer plan that was simultaneously operated by our developers and Client’s staff. Whole transfer took 12 hours and was divided into equal parts to not exceed API limits and server load abilities. After completing the transfer our team conducted a list of tests to ensure that all parts of the system work as expected. During the whole process of transfer we constantly communicated with Client and client’s team to be able to solve any unpredicted issues. 

Results
After completing the transfer none of the Client’s orders were lost. The list of tests conducted after the transfer highlighted that all system’s part’s are connected and work correctly. Client had full control and understanding during the process of transfer, that led to minimal delays in order shipment.

Introduction

One of the main Client’s business processes are connected to shipment of products. To measure effectiveness of personnel and track delays in shipment, Client needed additional source of data for making decisions. To improve shipment management our team decided to develop several reports that would support the Client's management process and would make shipment operations more transparent.

Challenge

Client used several different systems for reporting and separate data sources for each report.

Implementation

To develop a full-fledged shipment tracking system our team proposed several reports that covered all stages of order shipment. In collaboration with the client's team we developed key metrics for each stage to cover all situations that could happen during the process of shipment. After implementation we conducted a Client interview to ensure that all reports describe information that Client needs and provide complete access to data.

Currently the client's team uses developed reports as the primary data sources for making decisions. Reports are updated through time of business development and depict the real situation of business operations.
